Customer Outstanding
On this page
Customer Outstanding lists every customer and farmer with what they owed at the start of a period, what was debited and credited to them in it, and what they owe at the end. The customers are grouped by area, so you can take the list on a collection round or send it to the person who collects in an area.
Open the report
Press Alt+7 for Special Reports, then B. The report opens for the financial year from its first day to today, for all customers and areas, with both debit and credit balances.
Each area is a heading with the number of customers under it and their totals. The status line gives the closing debit and credit and the net.
What it lists
One line for each account of type Customer, Customer - Supplier or Farmer whose City / town is filled in. The report groups the accounts by that city and calls it the area. An account with no City / town is left out, so fill it in under Head of Accounts (2 A). The separate Area column of A/c Grouping (2 C) is not used here.
The figures come from everything posted to the account: its opening balance, bills, returns, notes, receipts, payments, journals and charges.
A customer whose closing balance is nil is left out, even when they had debits and credits in the period. Tick Zero balances to list them.
A customer’s line shows the trade name when the account has one, otherwise the account’s name.
Columns
| Column | What it shows |
|---|---|
| Customer Name | The customer’s name. An area heading shows the area and, in brackets, the number of customers in it. |
| Mobile | The account’s phone. When it has none, the phone of its default address, then that address’s other phone. |
| Op.Bal | The balance at the start of the period, marked Dr or Cr. |
| Tr.Debit | The debits posted in the period. |
| Tr.Credit | The credits posted in the period. |
| Cl.Debit | The closing balance, when it is a debit. |
| Cl.Credit | The closing balance, when it is a credit. |
An area heading carries the totals of its customers, and the totals line under the grid counts the customers and adds up all of them. Op.Bal is the net of the openings, marked Dr or Cr. The other columns are added up as they stand: Cl.Debit is the sum of the customers’ closing debits and Cl.Credit the sum of their closing credits.
With Summary ticked, the grid shows only the name, the mobile and the closing columns.
Choices
| Choice | What it does |
|---|---|
| From, To | The period. Both dates must fall in the financial year. It opens with the first day of the year and today. |
| Report type | * All: customers, customer-suppliers and farmers. Farmer: only farmers. Customer: customers and customer-suppliers. |
| Area | Only the chosen areas. * All lists every area. |
| Balances | Both, Debit (only balances the customer owes) or Credit (only balances you owe the customer). |
| Summary | The closing balances only, without the opening and the period’s debits and credits. With Balances set to Debit or Credit, only that side’s column is shown. |
| Zero balances | Also lists customers whose closing balance is nil. |
| Find | Only customers whose name, mobile or area matches what you type. |
| Columns | Hides the Mobile column or a figure column. The print leaves it out too. |
Click a column title to sort by it, and click again to reverse. Figure columns sort largest first on the first click. The customers are sorted within each area; the areas stay in name order. Every choice is kept in the page address, so Copy link gives a link that opens the same report.
The choices above the grid.
Area opens a list of the areas. Choose one or several and press Done.
The list offers every area that has a customer or farmer, whatever their balance.
How the figures are worked out
For each customer, SimplyERP adds up their postings:
- Op.Bal = the opening balance entered for the account + everything posted to it before the From date. Debits count as positive and credits as negative; the result is marked Dr or Cr.
- Tr.Debit and Tr.Credit = the debits and credits posted from the From date to the To date, both days included. The opening balance is not counted in them.
- Closing = Op.Bal + Tr.Debit − Tr.Credit, with debits positive. It is shown under Cl.Debit when it is a debit and under Cl.Credit when it is a credit.
For example, Venkatesh Gowda opens with 2,400.00 Dr, is debited 1,35,065.00 and credited 1,37,200.00. The closing balance is 2,400.00 + 1,35,065.00 − 1,37,200.00 = 265.00, a debit.
An area’s Op.Bal is the sum of its customers’ openings, with credits taking away from debits. In the picture, ADONI’s 2,400.00 Dr is 0.00 for Venkata Sai Fertilizers plus 2,400.00 for Venkatesh Gowda. Its Tr.Debit of 5,35,723.00 is 4,00,658.00 + 1,35,065.00.
The status line shows the sum of the closing debits and of the closing credits, and the net of the two: here 2,12,187.00 Dr and 0.00 Cr, so the net is 2,12,187.00 Dr.
Summary keeps the area headings and the closing balances.
Open, mark, print and export
- Enter on a customer opens their Ledger for the same period.
- F2 marks a customer and F8 marks them all. F10 then prints only the marked customers, with their area headings and totals worked out again for them.

- Alt+Enter gives the whole window to the list.
