Cash Balance Breakup
On this page
The Cash Balance Breakup shows how the cash in your drawer changed, one line for each day: the balance the day opened with, the cash received, the cash paid and the balance it closed on. Press F5 and each line becomes a month. Use it to see the cash position over a period at a glance, and to find the day to look at in the Cash Book.
Open the report
Press Alt+4 for Financial Reports, then L. The report opens for the financial year from its first day to today, one line for each day. The picture shows ten days, from 20-09-2026 to 30-09-2026.
Each line opens with the balance the day before closed on. The Total line gives the balance at the start of the period, the period’s receipts and payments, and the balance at its end.
What it lists
It is built from the Cash Book of the same period, so it reads the same entries: every bill and voucher that has a posting to the Cash account.
- Receipts are the cash that came in: cash sale bills, cash purchase returns and cash receipts, and the credit rows of any journal that has a Cash row.
- Payments are the cash that went out: cash purchase bills, cash sales returns and cash payments, and the debit rows of a journal that pays cash out, such as cash deposited in the bank. A round-off that takes a bill’s total down is a payment too.
As in the Cash Book, each figure is the other side of the cash: an account the bill or voucher credited is a Receipt, and an account it debited is a Payment. A posting to the Cash account that belongs to no bill or voucher counts as it stands: a debit is a Receipt and a credit is a Payment.
A bill paid by card or wallet is posted to the account it was paid into, and a credit bill to the customer, so neither is in the cash or in this report. Use the Cash Day Book for the money that moved through a bank as well.
One line stands for one day that has at least one cash entry, or for one month in the month-wise view. A day without cash entries has no line: in the picture below the book goes from 27-09-2026 to 29-09-2026, because no cash moved on the 28th. Its balance carries over.
No line for 28-09-2026: the 29th opens with the balance the 27th closed on.
Columns
| Column | What it shows |
|---|---|
| Date | The day of the line. In the month-wise view the column is called Month & Year and shows the month, for example September - 2026. |
| Op.Balance | The cash balance at the start of the day (or of the month’s first day with cash), marked Dr or Cr. |
| Receipts | The cash received that day or month. Left empty when there was none. |
| Payments | The cash paid that day or month. Left empty when there was none. |
| Cl.Balance | The balance at the end of the day (or month), marked Dr or Cr. Shown in bold, and in red when it is a credit balance. |
A Dr balance is cash in hand. Cr would mean the books show more cash paid out than they ever took in.
The Total line under the grid shows the balance at the start of the period under Op.Balance, the period’s receipts and payments, and the balance at the end of the period under Cl.Balance. The status line gives the cash account’s name, how many days (or months) are listed, and the opening and closing balances.

Choices
| Choice | What it does |
|---|---|
| Cash A/c | The cash account. Shown only when the books have more than one cash account; otherwise the one account is used, and its name is in the status line. When none is chosen, the first cash account by name is used. |
| From, To | The period. Both dates must fall in the financial year. The opening balance is the cash on the day before From. If you move one date past the other, the other date moves to the same day. |
| Breakup | Day wise (the default) or Month wise. F5 switches between them. |
The choices above the grid. These books have one cash account, so there is no Cash A/c field.
Every choice is kept in the page address, so Copy link gives a link that opens the same report.
Month wise
With Month wise (or F5), each line is a calendar month of the period. Only months with cash entries are listed.
Seven months. Each month opens with the balance the month before closed on: September - 2026 closes at 34,496.00 Dr and October - 2026 opens with it.
How the figures are worked out
SimplyERP takes the cash book’s entries for the period and adds them up for each day:
- Receipts = the sum of the cash book’s Receipt figures that day. Payments = the sum of its Payment figures.
- Opening of the first day = the cash account’s opening balance + everything it received − everything it paid before the From date. Cash in hand is Dr.
- Op.Balance of every later day = the Cl.Balance of the day before it that has a line.
- Cl.Balance = Op.Balance + Receipts − Payments. A result below zero is a Cr balance. A balance of nil is shown as 0.00 Dr.
- A month adds up the Receipts and Payments of its days. Its Op.Balance is the opening of its first day with cash, and its Cl.Balance the closing of its last day with cash.
- The Total line adds up the Receipts and Payments of all the lines. Its balances are the opening of the first line and the closing of the last, not a sum.
Amounts are rounded to two decimals. For 29-09-2026: 86,286.00 + 9,907.00 − 60,000.00 = 36,193.00 Dr, the same day as the Cash Book of that day shows.
Open, print and export
- Enter on a line opens the Cash Book for that day, or for that month in the month-wise view (clipped to your From and To dates). Back returns to the same line.
The cash book behind the line of 29-09-2026. Its receipts, payments and closing balance are the figures of the breakup line.
- F5 switches between day wise and month wise.
- F10 prints the report headed DAY WISE CASH BALANCE BREAKUP (or MONTH WISE CASH BALANCE BREAKUP), with the period and the cash account in its heading and a Total line at the foot. The columns are Date (or Month & Year), Opening, Receipts, Payments and Closing.
- F12 saves the same layout as an Excel workbook, with the figures as numbers.
- Alt+Enter gives the whole window to the list.
